Privacy Policy
Last updated: [CONFIRM: the publication date]
Total Stream Systems, LLC ("Total Stream," "we," "us," or "our") builds oil and gas software. This policy explains what information we collect through totalstream.com (the "Site"), how we use it, who we share it with, how long we keep it, and the choices you have.
What this policy covers. It covers the Site and the messages you send us through it. It does not cover:
- Total Asset Manager (TAM) or other Total Stream software that our clients sign in to. Information in those systems is handled under each client's agreement with us. [CONFIRM: that client agreements cover TAM data, and whether TAM needs its own notice.]
- Websites we link to, including Wisdom at the Wellhead (wisdomatthewellhead.com), LinkedIn, Facebook, and X. Those sites have their own privacy policies. [CONFIRM: Wisdom at the Wellhead is also a Total Stream property. Decide whether this policy covers it or it keeps its own.]
1. Information we collect
Information you give us
- Demo requests. Your name, company, work email, and, if you choose, your phone number.
- Contact messages. Your first and last name, company, email address, phone number, the topic you pick, and your message. [CONFIRM: the final field list once the form is connected to the company CRM.]
- Client sign-in help. [CONFIRM: the site collects nothing for client sign-in today. Keep this item only if a company lookup or a single client login is added, and describe what it collects.]
- Email and phone. Whatever you choose to tell us when you email or call us.
Please do not send us sensitive personal information, such as Social Security numbers, health information, or financial account numbers, through the Site.
Information collected automatically
When you visit the Site, our website host automatically receives the technical information every web request carries: your IP address, the general location that can be worked out from it (city and country), your browser and device type, the page you asked for, the page that sent you, and the date and time. [CONFIRM: the production host. The Site is built on Vercel today, and the production host is chosen at handover.]
Cookies, analytics, and advertising tools
The Site does not use cookies, analytics tools, or advertising pixels, and it does not store information in your browser. Our fonts and videos are served from our own Site, so loading a page does not send your information to a font or video service.
[CONFIRM: true at launch. If analytics (for example Google Analytics or Vercel Web Analytics), spam protection that sets cookies or collects device data, a chat widget, or embedded video is added, this section is rewritten before that tool goes live.]
Information from other sources
We do not buy contact lists, and the Site does not collect information about you from other companies. [CONFIRM: whether Total Stream adds outside data (for example company or title lookups) to leads in the CRM. If it does, say so here.]
2. How we use information
We use the information described above to:
- Respond to your demo request or message, and schedule and run your demo.
- Follow up with you about the Total Stream products and services you asked about. [CONFIRM: whether Total Stream sends marketing emails beyond direct follow-up. If it does, add a sentence on how to unsubscribe.]
- Help existing clients reach the right sign-in page and get support.
- Run, secure, and fix the Site, including blocking spam and abuse.
- Keep ordinary business records and meet our legal obligations.
3. How we share information
We do not sell your personal information, and we do not share it for targeted advertising.
We share personal information only:
- With service providers that help us run the Site and our business, and only so they can provide that service to us. These include our website host [CONFIRM: production host], our email provider [CONFIRM: for example Microsoft 365], and any spam-protection service [CONFIRM: vendor, or none]. [CONFIRM: whether the CRM that receives form submissions is Total Stream's own system on Total Stream servers, or a product run by another company. If another company runs it, name it here as a service provider.]
- When the law requires it, or when we believe in good faith that sharing is needed to protect the rights, property, or safety of Total Stream, our clients, or others.
- In a business transfer, such as a merger, acquisition, or sale of assets, with the buyer or successor, who must handle it consistently with this policy.
- With your permission.
4. How long we keep information
- Demo requests and contact messages: [CONFIRM: retention period, for example as long as needed to answer you and for [CONFIRM: number] years after our last contact with you, unless you become a client, in which case your client agreement governs.]
- Website request logs: kept by our host for [CONFIRM: the host's log retention period; Vercel's privacy notice does not state a fixed period].
When we no longer need information, we delete it or remove the details that identify you.
5. How we protect information
The Site uses HTTPS encryption. We limit access to form submissions to the people at Total Stream who need them to do their jobs. No website or storage system is perfectly secure, so we cannot guarantee the security of information you send us. [CONFIRM: the access controls on the CRM and on any email inbox that receives lead notifications. The lawyer checks that this section promises no more than Total Stream actually does.]
6. Your choices
- See, correct, or delete your information. You can ask us what personal information you gave us through the Site, ask us to correct it, or ask us to delete it. Email info@totalstream.com or call (888) 554-5777. We may need to confirm who you are before we act, and we will answer within [CONFIRM: response time; 45 days is the California timeframe if California's law applies].
- Stop hearing from us. Tell us by email or phone and we will stop following up. [CONFIRM: add an unsubscribe line if marketing emails are sent.]
- Do Not Track and Global Privacy Control. The Site does not track visitors across other websites, so it has nothing to switch off when your browser sends a Do Not Track or Global Privacy Control signal. [CONFIRM: rewrite this if analytics or advertising tools are ever added.]
- State privacy rights. Depending on where you live, your state's law may give you additional rights. [CONFIRM: the lawyer decides whether a state-specific section is required.]
7. Children
The Site is for businesses and is not directed to children. We do not knowingly collect personal information from children under 13 [CONFIRM: age threshold]. If we learn that we have, we will delete it.
8. Visitors outside the United States
Total Stream is based in the United States, and information collected through the Site is processed in the United States [CONFIRM: where the host and the CRM store data]. If you visit from outside the United States, your information will be handled under United States law. [CONFIRM: whether a section for visitors from the EU, the UK, or Canada is needed.]
9. Changes to this policy
We may update this policy. When we do, we will post the new version here and change the "Last updated" date. If we make a material change, we will [CONFIRM: how, for example a notice on the Site].
